1. 🎯 Goal Center

The Goal Center handles all automated rewards. Goals run in two modes — streak (caregiver completes X actions in a row, then earns a reward) or per visit (earns a small reward each time). Neither is wrong — it's a matter of preference.

Key goals to know:

  • Attendance — rewards caregivers who avoid callouts (typically set as a streak)

  • Birthday — one-time annual reward; most agencies do $5–$10

  • Mobile Clock-In/Out — rewards clocking in/out via the app; streak or per visit

  • Timely Clock-In/Out — same as above, but with a tolerance window (recommended: 5–7 min before/after shift start)

  • Total Hours Worked — optional; rewards hitting an hours threshold by day/week/month

  • Work Anniversary — tenure-based, not annual; each milestone (Year 1, 3, 5, etc.) must be created separately with its own reward amount

  • First Login — rewards caregivers when they first activate their account ($1–$2, optional)

  • WellSky: Complete All Tasks — rewards completing the care log; streak or per visit

  • WellSky: General Comments — rewards care log comments; set a minimum character limit (50–150 recommended)

2. 💰 Spot Rewards

For recognizing caregivers in moments that fall outside the Goal Center — last-minute shift covers, client compliments, training completions, etc.

Three ways to send:

  • Workflows → Rewards → Send Reward — full workflow with message, delivery channels, and send options

  • Company → Employees → Dollar Sign Icon — quick send directly from a caregiver's profile

  • Auto Spot Rewards (WellSky only) — set up reward rules tied to WellSky Activity Tags; fires automatically within 12–24 hours whenever the tag is applied

Avoid event-based rewards for birthdays/anniversaries if those are already active in the Goal Center — this will result in double rewards.

3. 📢 Announcements

A one-way communication tool. Caregivers can react (emoji) but not comment. Can include text, images, videos, and attachments.

Four send methods:

  • Send Now — immediate one-off

  • Schedule for Later — planned messages (great for holidays)

  • Autopilot — recurring reminders (e.g., weekly uniform or policy reminders)

  • Event-Based — auto-triggers on milestones (new hire onboarding, 30/60/90-day check-ins)

💡 Record a welcome video once, attach it to a New Hire Onboarding event workflow, and it automatically goes out to every new hire going forward.

4. 📊 Surveys

Used to gather caregiver feedback and catch early disengagement. Use Survey Summaries (AI-generated) to review sentiment across multiple surveys at once without reading every individual response.

Key settings when creating a survey:

  • Anonymous mode (optional)

  • Escalation rules — get notified when specific answers are given (e.g., low satisfaction scores)

  • Reward for completion — strongly recommended; even $0.50–$1 significantly boosts response rates

  • Reminder frequency — how often caregivers are nudged before the survey closes

Common event-based survey triggers:

  • New hire onboarding (30/60/90-day check-ins)

  • No shifts in 2 weeks (a short 2-question welfare check)

5. 👥 Employee Groups

Groups control who receives your workflows. Found under Company → Employee Groups.

Default groups (All Employees, Active This Month, etc.) are pre-built. You can also create custom groups by name or CSV upload — examples: "Brooklyn Caregivers," "Mr. Jones's Care Team," "Superstars."

Groups appear as recipient options at the send step of every workflow.


6. 💳 Rewards Balance

Found under Settings → Rewards Balance. Key things to manage here:

  • Available Balance — current redeemable funds

  • Recharge Settings — auto-reload rules so rewards never get interrupted mid-month

  • Redemption History — full log of who redeemed what and when

  • Monthly Redemption Cap — shared (whole team shares a budget) or individual (per caregiver max); shared is most common

  • Max Gift Card Value per Transaction — default $50; adjustable


7. 📈 Report Builder

Found under Reporting → Report Builder.

  • Year-to-Date Insights — high-level month-over-month snapshot; good for a quick check-in

  • Create New Report — choose your employee group, select data modules (points awarded, engagement, redemptions, login rate, etc.), and set the cadence (one-time or recurring)

Healthy benchmarks to watch:

  • Login rate: 70%+

  • Claim rate: 75–90%

  • Redemption rate: ~70%

A large gap between claim and redemption rate = redemption friction, not disengagement.
