For setting up payroll exports, check out our Setting up Payroll Exports article.
Q: What Payroll Platforms are Supported:
ADP
WellSky Personal Care (ClearCare)
WellSky Home Health (Kinnser)
PayPlus
Viventum
Paychex
Any other platforms are regrettably not supported, and clients are encouraged to download the Rewards Only exports to use when calibrating Payroll data.
Q: How does the Payroll Export file work?
The Payroll Export combines EMR timesheet data (e.g., WellSky) with Zingage reward redemptions to produce a payroll-ready file. This ensures rewards are factored into pay in compliance with FLSA (Fair Labor Standards Act) overtime rules.
When a caregiver earns rewards and also works overtime in the same pay period, those rewards must be factored into their overtime pay calculation to stay FLSA compliant. Under FLSA guidelines, if an employee earns additional compensation like a gift card bonus, that extra value must be factored into the regular rate for the week. This calculation is automated for you through the Payroll-Ready Export feature.
Formula:
OT Adjustment = (Redemption ÷ Total Hours) × 0.5 × Overtime Hours
Q: What happens when a caregiver redeems a gift card?
The dollar value of the reward is added to their total pay.
Zingage recalculates its hourly and overtime rates using the blended overtime method.
Any overtime adjustment amount is automatically included in the export.
Q: What’s the blended overtime method?
The blended overtime method adjusts a caregiver’s overtime pay when additional earnings (like gift cards or reward redemptions) increase their regular rate.
How it works:
Start with total wages from your EMR (base pay).
Add any reward or gift card redemptions.
Divide by total hours worked to calculate a new blended regular rate.
The system then calculates the additional overtime premium owed based on that increase.
Formula:
OT Adjustment = (Redemption ÷ Total Hours) × 0.5 × Overtime Hours
Example:
$900 base pay ÷ 45 hours = $20.00/hour
Add $50 redemption → $950 ÷ 45 = $21.11/hour
Increase in regular rate = $1.11/hour
Overtime hours = 5
OT Adjustment:
$1.11 × 0.5 × 5 = $2.78
This means the caregiver is owed an additional $2.78 in overtime pay due to the reward increasing their regular rate.
Q: What’s included in the Payroll Export file?
The file is an Excel spreadsheet that contains:
Employee identifiers (name, email, etc.)
Rewards redeemed (e.g., $50 gift card)
Overtime adjustments (e.g., $2.78)
Pay codes mapped to the agency’s payroll system
You'll want to make sure the columns in your export are correct based on the payroll system that you use, please see this help article (Required Columns For Payroll-Ready Exports) to ensure yours are accurate.
Q: What's the difference between Points Earned and Cash Redeemed?
Cash Redeemed tracks rewards only when caregivers actually claim & redeem their points for gift cards. So if a caregiver has 500 points sitting in their account but hasn't redeemed them yet, those points won't show up in your payroll report.
Points Earned tracks rewards as soon as caregivers earn the points, regardless of whether they've redeemed them yet. So if a caregiver earns 100 points for completing a survey, that shows up in your payroll, even if the caregiver never claims those points.
Cash Redeemed is the most commonly used because you only report to payroll what caregivers have actually received as cash value.
Q: What options do agencies have for reports?
Rewards-Only Report: Shows employee rewards redeemed during the period. Often used for finance review or manual tracking.
Payroll-Ready Export: Combines EMR data and Zingage rewards into a payroll-ready file with overtime adjustments already calculated.
Q: What do we tell a payroll company that’s never seen this before?
The Payroll Export file adds rewards as compensation.
It recalculates overtime automatically.
It uses agency-defined pay codes (must match their payroll system).
The output is ready to upload—no manual calculations needed.
Q: Can we provide them with a sample?
Yes. If requested, share a sample export file with dummy data so the payroll company can see the format and fields.
